Trail Masters Adventure Tours – Terms and Conditions for Booking Guyana Tours 

  1. Introduction

Welcome to Trail Masters Adventure Tours. By booking any tour or travel package to Guyana through our website, you accept and agree to the following Terms and Conditions (“Terms”). These Terms form a binding contract between you (“the client”, “traveler”, or “participant”) and Trail Masters Adventure Tours (“Trail Masters Adventure Tours”, “we”, “us”, or “our”). Please read these Terms carefully before booking your tour. If you do not agree with any part of these Terms, please do not proceed with your booking. 

  1. Bookings & Payments

2.1 Booking Process 

All bookings must be made through Trail Masters Adventure Tours’ official website or authorized representatives. Upon submitting your booking form and necessary traveler information, you will receive a provisional confirmation email. The booking is not secured until the required deposit is received and a final booking confirmation is issued. 

2.2 Deposit Requirements 

To confirm your reservation, a non-refundable deposit of 25% of the total tour cost is required within seven (7) days of receiving your provisional confirmation. The deposit may be paid via credit card, bank transfer, or authorized online payment systems. 

2.3 Payment of Balance 

The outstanding balance must be paid no later than sixty (60) days prior to your scheduled departure date. If the booking is made less than sixty (60) days before departure, full payment is required at the time of booking. Failure to pay the balance on time may result in cancellation of your booking and forfeiture of your deposit. 

2.4 Pricing and Currency 

All prices are listed in United States Dollars (USD) unless otherwise stated. Prices are subject to change without notice prior to booking confirmation. Once booked and confirmed, prices are guaranteed except in the event of significant changes in government taxes or fuel surcharges. 

  1. Cancellations & Refunds

3.1 Cancellation by the Client 

If you wish to cancel your booking, you must notify Trail Masters Adventure Tours in writing (email or through your account on our website). The following cancellation fees apply, calculated from the date we receive your written notice: 

  • More than 60 days before departure: Loss of deposit 
  • 31–60 days before departure: 50% of tour cost 
  • 15–30 days before departure: 75% of tour cost 
  • 14 days or less before departure: 100% of tour cost (no refund) 

No refunds will be made for unused services or portions of your trip, regardless of the reason. 

3.2 Cancellation or Changes by Trail Masters Adventure Tours 

Trail Masters Adventure Tours reserves the right to cancel any tour prior to departure for reasons including, but not limited to, insufficient tour participants, unsafe conditions, force majeure events (such as natural disasters, war, pandemic, or government travel restrictions), or other circumstances beyond our control. In such cases, we will offer you a full refund or, where possible, an alternative tour of equal value. Trail Masters Adventure Tours is not responsible for additional expenses incurred by participants in preparing for the tour, such as non-refundable airline tickets, visas, or personal equipment. 

3.3 Changes to Itinerary 

While Trail Masters Adventure Tours endeavors to operate all tours as advertised, itineraries are subject to change due to local conditions, weather, safety concerns, or unforeseen circumstances. Trail Masters Adventure Tours reserves the right to modify any aspect of the itinerary, including transportation, accommodation, activities, and guides, without prior notice. We will attempt to provide a comparable alternative wherever possible. 

  1. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers booking with Trail Masters Adventure Tours. Your insurance must cover personal accident, death, medical expenses and emergency repatriation, as well as trip cancellation, curtailment, and loss of luggage and personal effects. Proof of insurance must be provided prior to departure. Trail Masters Adventure Tours is not responsible for any costs or losses that may be incurred due to insufficient or invalid insurance coverage. 

  1. Health, Fitness, and Special Requirements

5.1 Health and Fitness 

Clients are responsible for ensuring that they are in suitable health and physical condition to undertake their chosen tour. Some tours may involve strenuous activity, adventure sports, or travel to remote areas without immediate access to medical facilities. By booking, you confirm that you have no medical conditions or disabilities that could jeopardize your safety or the safety of others during the tour. 

5.2 Vaccinations and Medical Precautions 

Travelers are responsible for obtaining all required vaccinations and medical advice prior to travel. It is your responsibility to comply with health requirements of the destination, including but not limited to vaccinations for yellow fever, malaria prophylaxis, or COVID-19 requirements. 

5.3 Special Dietary and Other Requests 

Please inform Trail Masters Adventure Tours of any special dietary requirements or other needs at the time of booking. While we will make every effort to accommodate your requests, we cannot guarantee that all requirements can be met, especially in remote regions. 

  1. Documentation and Visas

All participants must possess a valid passport with at least six (6) months validity from the tour end date. You are responsible for obtaining and paying for all visas, permits, and other travel documents required for entry into Guyana and any other destinations or transit countries. Trail Masters Adventure Tours will provide basic visa guidance but is not responsible for incomplete or incorrect documentation leading to denied entry or delays. 

  1. Liability and Responsibilities

7.1 Limitation of Liability 

Trail Masters Adventure Tours acts as agent for hotels, transportation companies, local operators, and other suppliers. We accept no liability for injury, damage, loss, accident, delay, or irregularity caused by the actions or omissions of third-party suppliers or other parties outside our control. Participation in adventure activities or excursions involves inherent risks; by booking, you acknowledge and accept these risks. 

7.2 Force Majeure 

Trail Masters Adventure Tours shall not be liable for failure or delay in performing obligations under these Terms if such failure or delay is the result of causes beyond its reasonable control, including but not limited to acts of God, war, strikes, fire, floods, government restrictions, or pandemics. 

7.3 Assumption of Risk 

You acknowledge that travel in Guyana can involve risks such as unpredictable weather, difficult terrain, encounters with wildlife, and limited access to emergency services. By joining a Trail Masters Adventure Tours tour, you voluntarily assume all such risks and agree to release Trail Masters Adventure Tours and its employees from liability to the fullest extent permitted by law. 

  1. Conduct and Behavior

Participants are expected to behave respectfully and responsibly at all times, adhering to all local laws, customs, and the instructions of Trail Masters Adventure Tours staff and guides. Disruptive or unlawful conduct may result in removal from the tour without refund or compensation. 

  1. Complaints and Claims

If you have a complaint during your tour, please bring it to the attention of your guide or local representative as soon as possible to allow Trail Masters Adventure Tours the opportunity to resolve it promptly. If the matter is not resolved to your satisfaction, please submit your complaint in writing within thirty (30) days of the tour’s end. Trail Masters Tours will review and respond to all complaints in a timely manner. 

  1. Privacy and Data Protection

Trail Masters Adventure Tours respects your privacy and is committed to protecting your personal information. We collect only the information necessary to facilitate your booking and provide your tour services. Your data will not be sold or disclosed to third parties except as required to fulfill your booking or as required by law. Please review our Privacy Policy for full details. 

  1. Intellectual Property

All content on the Trail Masters Adventure Tours website, including text, images, graphics, and logos, is the property of Trail Masters Adventure Tours or its licensors. You may not reproduce, distribute, or use any content from the website without express written permission. 

  1. Governing Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the laws of Guyana. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of Guyana. 

  1. Amendments to Terms

Trail Masters Adventure Tours reserves the right to modify or update these Terms and Conditions at any time without prior notice. The Terms in effect at the time of booking will apply to your booking. Please review this page periodically for changes.
